Send the agenda and the list
Agenda items, candidates, assembly date and the members' email addresses. In whatever form you already have.

Approve the test ballot
You receive it at your own address, exactly as a member will see it. Corrections before the vote opens are included.
We
Members vote, you get the minutes
Every member receives a personal link. At close we send the results, turnout and the export for the minutes.
Anonymity, explained
We know who voted. Nobody knows how.
The link proves an eligible member is voting, then it is spent. The ballot is stored separately, without email, time or device. The two tables are not linked: not in the database, not in logs, not in exports. Even we cannot answer how anyone voted.

There is no link between the tables. Neither the admin nor the server can rebuild it.

Privacy and GDPR
The least data a vote needs.
The organization is the controller of its members' personal data; Kvorum is the processor. We store only voters' email addresses and the fact that they voted. Nothing about how.

No tracking cookies
Only the strictly necessary cookie for sign-in. Hence no cookie banner, explained on the privacy page.
Voters know why
Every email and voting page names the organization running the vote and why the person received the link.
Retention
The voter list is deleted automatically 30 days after close, or immediately on request. Anonymous ballots stay until the organization deletes the vote. Export or account deletion is possible at any time.
Frequently asked questions
What does the price include?
One election from start to finish: we build the ballot, import and check the member list, send a test, watch delivery, answer members and admins by email on business days while the vote is open, and hand over the results with an export for the minutes.
Do you see how members voted?
No. The ballot is stored without any link to the voter, which is built into the design, not a promise. The question "how did X vote" cannot be answered by us, by the admin, or by anyone with access to the database.
How long do you keep the data?
Voter email addresses for 30 days after the vote closes, then they are deleted automatically; the organization can set a shorter period or delete them at once. Anonymous ballots and results stay until the organization deletes the vote or its account.
What if a member loses the link?
We issue a new one; the old one stops working. If the vote was already cast, the new link shows that voting is complete for them.
